Resico ERP news – March 2025. E-invoice in PEPPOL format.

The Resico ERP system is constantly evolving, improving the existing functionality of the system and continuously introducing new functions, which allow our customers to organize their daily work even more efficiently and promote the growth of sales volumes.

This time we can report that Resico ERP system has introduced support for e-invoices in PEPPOL format. Now any Resico ERP user can prepare an invoice not only in PDF or Word format, but also in XML document in PEPPOL format.

What are e-invoices?

E-invoices are electronic invoice xml files that are created and sent in a special PEPPOL format (xml file format). This format has been agreed at the level of European Union countries to ensure standardized and secure exchange of invoices between companies and institutions.

It is important to understand that not every xml file is an e-invoice, because only this one – PEPPOL BIS Billing 3.0 format will be compatible with Latvian e-invoices.

The use of e-invoices in Latvia is being phased in:

From January 1, 2025, e-invoices are mandatory when sending invoices to state and local government institutions.
From January 1, 2026, e-invoices will have to be used by all merchants.

What is PEPPOL?

PEPPOL stands for “Pan-European Public Procurement Online”. It is a standard and infrastructure created by the European Union that allows companies and public authorities in European countries to exchange electronic document data, such as order data and e-invoice data, in an automated and secure manner.

How to prepare for e-invoice circulation

Currently, the legislation defines three different channels for e-invoice exchange:

  • E-address – currently intended for public administration institutions to receive invoices;
  • Email: A semi-automatic process where the file must be sent via email and manually imported into the recipient’s accounting system.
  • E-invoice operator (API) – an automatic data exchange channel that allows the exchange of invoice data between two systems.

From January 1, 2026, all entrepreneurs, including self-employed persons, will have to exchange e-invoices, so it is very important to prepare for this in time.
Small businesses that create invoices in Excel should look for something more powerful, such as Resico ERP, which provides e-invoice creation.
